What’s Happening?
Nearly 500 staff have activated their ctcLink accounts. Thank you! If you are a student employee, hourly employee, or classified or exempt staff and haven’t already activated your account, please refer to the email sent yesterday for instructions.
If you forgot your ctcLink ID number, here is where to find it.
On Friday, Nov. 12, faculty will receive an email with instructions for activating their account, login information, and where to find support if needed. Students will gain access on Wednesday, Nov. 17.
In case you missed it: Those who activated accounts in test environments prior to ctcLink go-live must reactivate.
Don’t wait!
If you wait to activate right before you need to do a time-sensitive activity (e.g., requesting leave or submitting grades), you will not have any buffer to handle challenges that may arise. In-person and virtual ctcLink support is available for staff now. Support for faculty and students will also be available when they are invited to activate their accounts.
Student Employees
Please encourage student employees to activate their ctcLink account this week and submit any time worked between Nov. 1-15 so that they can get paid for this payroll cycle. The account activation process is the same for student employees as all employees. Note: Student employees who activate their accounts this week as employees also see (and activate) their student self-service.
Timesheet Demonstration Today
The Payroll team will provide a demonstration for timesheet submittals today. Session access details and other trainings are available on the Staff Training page of the ctcLink website. Timesheets are still due Nov. 15, but staff are encouraged to submit timesheets as soon as possible.
Recordings of each session will be posted on the staff How Do I web page as soon as possible.
The Finance Office is offering Employee Reimbursements in ctcLink and A19 Replacement in ctcLink trainings on Nov. 17. Visit the Finance Resource Center for details.

Employee Emergency Contact Information & Personal Information
Please take this opportunity to update your emergency contact information and direct deposit information – but please do not edit anything else. HR will be updating personal details and you may make edits after Dec. 1.
Visit the How Do I section of the website for how-to guides on updating emergency contact and direct deposit information.
Known HR-related issues that will be addressed after Nov. 15:
- Data errors in Employee Self-Service, including personal details or benefits, and in Manager Self-Service, including My Team. HR staff will make these corrections in November.
- Volunteers and Paraprofessionals do not exist in ctcLink at conversion. HR staff will manually re-input each volunteer/paraprofessional in November.

- There are some areas of ctcLink we aren’t using, such as the vaccination attestation tile or the advisor center for students. If you are unsure, please ask.
Systems Migration this Week
For anyone who has had to move from one living space to another, you know the many steps and challenges that go with packing up a household and transporting it to another location. The migration of 25 business applications into ctcLink is a similar undertaking. BC is moving our applications over in four phases. This week is the first migration phase to the new backend system for:
- Canvas
- TerraDotta
- NetID
- Rave Alerts
- Selective Admissions Applications
The good news is that applications will remain functional as we transition to the new data. Our ITS team will be working toward a smooth transition, but please be aware that there may be serviceinterruptions. Visit the ctcLink website for information on future phases for systems migration.
