Vol. 2 – Monday, Nov. 8

What’s happening?

We have launched ctcLink successfully. This is a major step for Bellevue College and the beginning of a process that will be filled with learning and mastering this new system. 

Our next step begins on Tuesday when staff gains access to ctcLink. As you are aware, we’ve developed a staggered approach for activating ctcLink user accounts. This is to avoid overwhelming our new system and to allow support staff to focus on assisting specific groups with any technical issues that might arise.

Account activation

Keep in mind that you will receive an email with instructions for activating your account, login information, and where to find support if you need it. 

  • Tuesday, Nov. 9 – Staff gain access to ctcLink        
  • Wednesday, Nov. 10 – Timesheet trainings offered        
  • Friday, Nov. 12 – Faculty gain access to ctcLink 

Note: Those who activated accounts in test environments prior to ctcLink go-live must reactivate

If you wait to activate right before you need to do a time-sensitive activity (e.g., requesting leave or submitting grades), you will not have any buffer to handle challenges that may arise.     

General in-person and virtual ctcLink support will be provided starting Nov. 9 for staff and Nov. 12 for faculty.  

Timesheet support sessions this week

Mark your calendar and copy these links! The Payroll team will provide support for timesheet submittals on Nov. 10. Support session access details are also available on the Staff Training page of the ctclink website.

Your personal information

Once you have activated your account, do not attempt to update your personal information. Data error issues will require some clean-up by the Human Resources (HR) staff in November. Please submit a data change through Employee Self Service starting December 1 if the data appears incorrect.

Known HR-related issues that will be addressed after Nov. 15:

  • Data errors in Employee Self-Service, including personal details or benefits, and in Manager Self-Service, including My Team. HR staff will make these corrections in November.  
  • Volunteers and Paraprofessionals do not exist in ctcLink at conversion. HR staff will manually re-input each volunteer/paraprofessional in November.

Systems migration this week 

For anyone who has had to move from one living space to another, you know the many steps and challenges that go with packing up a household and transporting it to another location. The migration of 25 business applications into ctcLink is a similar undertaking. Today, BC receives the first batch of ctcLink data and will begin moving our applications over in four phases. 

Migration begins for the first phase to the new backend system for:  

  • Canvas         
  • TerraDotta 
  • NetID        
  • Rave Alerts         
  • Selective Admissions Applications 

The good news is that applications will remain functional as we transition to the new data. Our ITS team will be working toward a smooth transition, but please be aware that there may be service interruptions. Visit the ctcLink website for information on future phases for systems migration. 

Remember, it’s okay to not know everything. We’ll be learning together.
