POSITION:                           Human Resources Assistant (Class Code 107M); REF #009065

                                                12-month, Full-time position

 

DEPARTMENT:                  Human Resources

 

SALARY:                               Range 32: $2,212 - $2,855 per month

POSITION SUMMARY:

Under the general supervision of the Director of Human Resource Operations, the Human Resources Program Assistant will provide technical and clerical support for the Human Resource office and serve as the primary Human Resources receptionist.

MINIMUM QUALIFICATIONS:

High school graduation or equivalent AND two years of full-time clerical or customer service experience OR equivalent education/experience. Applicants must meet the minimum qualifications to apply.

 

DESIRABLE QUALIFICATIONS:

        • Customer service experience (telephone and in person)
        • Intermediate knowledge of MS Office.
        • Experience with Dreamweaver
  • Demonstrated commitment to pluralism with the ability to advocate for it on campus and work as a team member on a campus committed to pluralism.

Level 1 Database: Use database software, such as Microsoft Access, to create template-based files and design simple tables, queries, data entry forms, and/or reports. Import data from other sources, sort records by multiple fields, find records, run simple queries, and filter by selection.

Level I Spreadsheet: Use spreadsheet software, such as MS Excel to create, modify, print, and format spreadsheets, find and replace data, and work with basic formulas and functions.

Level I Word Processing: Use word processing software, such as MS Word to create, format, edit, preview, print and save documents. Use standard functions to select, edit, copy, paste, format and spell check text.

Managing Workloads:  Effectively organize multiple assignments to produce work products that are accurate, thorough and on time.

Multi-task: Effectively prioritize and perform multiple tasks in the same timeframe, handle interruptions appropriately, and return to incomplete tasks.

  • Tact & Diplomacy: Respond to difficult, stressful or sensitive interpersonal situations in ways that reduce or minimize potential conflict and maintain good working relationships among internal and external customers.  Use behavior and language in dealing with people that are appropriate for workplace situations.

Verbal/Written Communication:  Effectively express ideas and information using language that is appropriate to the knowledge and understanding of the audience. 

 

  • ESSENTIAL FUNCTIONS:
  • Serve as the Human Resource Receptionist; to include answering main telephone line; greet and assist all visitors to the department
  • Contribute to a work environment that embraces diversity and uses diverse perspectives to enhance the organization
  • Provide support to the Director of HR Operations and the Administrative Assistant to the VP
  • HRIS duties as directed
  • Communicate effectively with employees and applicants regarding policies and procedures
  • Provide support or backup to other HR staff as directed
  • Assist with the HR website updates
  • Answer and /or distribute general Human Resources e-mail inquiries
  • Open and distribute mail and incoming correspondence

 

Union shop provisions cover this position as the result of a majority vote by employees in the bargaining unit.  All employees must either join the Washington Public Employee’s Association and pay regular union dues or pay a union representation fee on date of hire as required by the Dept of Personnel, Higher Ed. Division rules.
