I. Award Letter/Award Notification Letter

Once your financial aid application has been reviewed and awarded, you will receive a letter called the Award Notification Letter, or award letter. The letter lists the types of aid you will be receiving, the dollar amount, and the quarters for which you will be funded. Awards shown on the letter are based on full time enrollment of 12+ credits. Your funds will be reduced or prorated based on the number of credits you register for. II. Tuition Payment

Once you have registered for classes and received your financial aid Award Notification Letter, your financial aid (excluding Federal Work-Study and Federal PLUS and some alternative loans) will be applied against the tuition charges on your student account. Generally grant funds (Pell, SEOG, WSNG) are applied to your account shortly after you register.

We apply grant funds to your tuition charges as soon as we can. Many times this is weeks before the quarter actually starts, therefore your classes are paid and you will not be dropped for non-payment.

III. Enrollment in Five Credits or Less

Students who enroll in less than half time (5 or less credits) lose all of their work study (exception during the summer) and student loans.

Pell Grant recipients lose at least 75% of their funds. If you know your EFC, see the Pell chart to determine how much money you’ll receive, or call our office to find out if you will have a Pell award if enrolled for five or less credits. Many Pell eligible students will not receive any Pell funds if enrolled for 5 or less credits.

We recommend that if you are enrolled in only five credits, you check your student account to see if you have a balance owing. Your classes maybe dropped or your account maybe blocked if you have outstanding tuition.

IV. Verification of Attendance and Photo ID

Award balance checks are available on the first day of the quarter. Every time you pick up a check you must bring an Attendance Verification form which must be signed by at least one instructor; additionally you must bring current photo identification to present to the cashier.

V. Do You Have A Check?

You can determine if you will have a check by taking the full time dollar amount off of your Award Notification Letter and subtracting your tuition due amount.
Example: $1350 Pell minus $965 tuition = $385 Award Balance Check.

If you do not attend full-time, reduce your awards according to the prorating chart. For example, if you are awarded a full time Pell award of $1350 and are only taking 10 credits you would multiply the dollar award by 75% to determine the amount of aid you will receive. Then subtract this from the tuition that has been paid or will be paid you should arrive at the dollar amount you will receive.

Remember if you have dropped and added classes after financial aid has paid your tuition, the aid office will need to determine the amount of the refund before additional checks can be generated.

VI. What if my financial aid is less than my tuition charges?

If financial aid is cancelled or does not pay all tuition and fees, you will be responsible for your tuition charges. Access your student account on line here to determine if your financial aid funds have paid all your tuition. If not, your classes may be dropped for non-payment. 

If you decide not to attend classes, you must officially withdraw from the College.

VII. Stafford Loan Funds (Subsidized and Unsubsidized)

Students who are receiving only student loans must either pay their tuition at the time of registration, or request a deferment from the financial aid office. If you are eligible for a deferment we will defer or delay your tuition due date until we can apply your student loan funds to your account.

Because the Department of Education will not allow us access to your loan funds until three days before the start of classes, you must pay your tuition at the time of registration, or request and receive a deferment; otherwise your classes will be dropped for non-payment.

VIII. Dropping Classes

You need to finalize your schedule before the first day of the quarter.  If you drop classes after the start of the quarter, you may owe a repayment of financial aid.  Our office will send you a repayment letter and directions on how to make the repayment.

If you cannot repay the overpayment, you may be placed on probation or your aid maybe be cancelled due to lack of Academic progress.

IX. Adding Classes

You need to finalize your schedule before the first day of the quarter.  If you add classes after the start of the quarter, you need to pay your tuition immediately and notify our office you have increased your credit load. We will prorate your awards based on the number of credits you are enrolled for.
